Job Description
**The Office of the President** invites applications for the **Reception and Planning** (Administrative Associate II) position to performs administrative, financial, and clerical work in support of the department; including but not limited to: creating/editing correspondence, overseeing multiple work schedules, organizing and maintaining paper and electronic files, reconciling bills, running and formatting reports, and providing more complex information to internal and external customers. The person in this position is under the general supervision of the Operations and Engagement Manager.
The person in this position also provides reception, acting as the first point of contact for the President's Office. The position is highly visible and people-oriented, so the person in this position must possess skills to tactfully and diplomatically respond to a variety of clientele both internal and external to the President's Office. The person in this position handles a high volume of phone, email, and in-person contacts for the Office of the President. Work is both task and project oriented, and is generally recurring, often cyclical. Work requires interpretation, discretion, and judgment to resolve day-to-day problems. Decisions will be made according to President's Office guidelines and University policy and procedures.
The person in this position supports the President's Office by providing mid-level and some in-depth information regarding the President's Office and the University. Researches problems and gathers information, presenting it in various formats to facilitate management's planning or decisions. This person in this position may also be responsible for website updates and maintenance; help coordinate events, which may include scheduling rooms and/or guest speakers and arranging for routine materials such as technology needs and refreshments; and help coordinate travel arrangements.
The person in this position oversees the work of two student employees assigned to the Office of the President, and frequently assigns them tasks and tracks their progress in getting those assignments accomplished, all in consultation with their supervisor.
This position requires incumbent to develop a working knowledge of department and the duties performed by others in the unit; develop working knowledge of the University of Montana policies, procedures, practices and resources; develop a working knowledge of applicable federal and state regulations; develop working knowledge of basic supervisory skills; and develop working knowledge of Banner and UMDW for data viewing, collection, and entry.

* Ability to create, compose, and edit simple and complex written materials.
* Ability to maintain calendars and schedule appointments.
* May require knowledge of basic advising, strong computer/presentation background, experience with website management software, event planning experience, basic accounting skills, and/or knowledge of basic payroll practices.

* High school diploma (or equivalency) in addition to two (2) years of related experience; or any combination of experience and education that provides the competencies necessary to successfully handle the duties and responsibilities assigned to the position.

**Department:** Office of the President
**Work Schedule:** Full-time, 1.0 FTE (40 Hours a week), Monday through Friday 8:00 am to 5:00 pm, 12 months/year.
**Salary:** **$11.692/hr** - _Current employee's rate of pay for this position will be determined by the staff compensation plan and may be different from the posted salary.__For questions and details regarding the staff compensation plan, email the Compensation Department._

**Probationary Period:** Six months minimum
